Problem
Clinics with several branches were building their weekly rotas by hand. Each branch has its own opening hours, its own rooms (consulting, theatre, and so on) and staff who are only available on certain days. Every change meant redoing the week and hoping nothing broke.
What I built
- A weekly and monthly rota view per branch, with each room as a column and each hour as a row, showing who is covering what.
- Rules that check every slot against staff availability and opening hours. Gaps are flagged in place ("no staff available") so the manager sees the problem where it happens and can fix it from there.
- Filters by area, activity and staff member, and undo/redo on the rota so mistakes are cheap.
- The data model and API in Xano, so the schedule, the rules and the availability live in one place and the front end just reads and writes to it.
Results
Managers went from rebuilding rotas by hand to adjusting them, with the app telling them where the gaps are.
